Guide to Appointment Data Tags

Customize email & texts related to appointments with data tags

Data tags can be a little tricky to navigate when it comes to Appointment information so we decided to create a guide of when and which ones to use. Some data tags were created to work when a template is sent manually and some were created to work when a template is sent automatically. 

FOR AUTOMATED EMAILS & TEXTS
If your dealership is using the Automated Appointment Feature utilize the data tags listed below in your templates.
These data tags can only be used in templates being sent through automated Action Plan tasks and automatic responses listed in the Appointments tab.

{APPOINTMENT.next_scheduled}  - Use this to display the time & date of any appointment.

{APPOINTMENT.assignee}
 - Use this to display the name of the user that is assigned to the appointment on an up sheet. This name might be different from the name of the user actually assigned to the up sheet.

{APPOINTMENT.creator}  - Great for BDC teams! Use this data tag in the "Appointment Confirmation" template, it will display the name of the user that created the appointment.

{TASK.assignee}  - Got a follow up that should come from one user in particular? Use this data tag to display the name of the user in the task assigned field even if the up sheet is assigned to someone else. (Great for a Manager or Owner follow up email or text) 

FOR MANUAL EMAILS & TEXTS
If your dealership wants to send Appointment confirmations and reminders on a case by case basis then use these data tags. These data tags can only be used by pasting directly in an email or text sent from an up sheet or by adding to a template that is selected in the template dropdown when sending an email or text.

{APPOINTMENT.next_scheduled}  - Use this to communicate the Scheduled appointment date & time in a email or text sent manually.

{APPOINTMENT.most_recent}  -  Use this to communicate a Kept, Missed or Cancelled appointment date & time. (mostly commonly used in Missed or Cancelled appt templates)
