What you should do when a customer isn't going to buy from you.

Changing Temperature

Any new up sheet defaults to an Active up sheet with the temperature of Hot. You can easily change the temperature or status of the up sheet by clicking on the button on the up sheet. Temperature Options under Active include: Hot, Warm and Cold.

Delivering an Up Sheet

First, you want to make sure you have added a vehicle. You can add multiple vehicles to an up sheet. Click "Add vehicle" and start typing in the box. The search will run as you type in real time. There are two options here:

  1. The vehicle the customer wants is in inventory. In this case, type in keywords until the vehicle is found (see image). Click "Add" to add that vehicle to the up sheet.

  2. The vehicle that the customer wants is not in inventory. In this case, "custom" text will appear on the left instead of a stock number. The "build" feature allows you to create custom vehicles which are great for describing what type of vehicle the customer wants even if a perfect match isn't currently in your inventory.

Deliver the vehicle

When the customer leaves with their purchased car, the deal is considered "delivered."

Using the Status drop down, click on the temperature or if it says Sold, Click Delivered. (If the customer has left a deposit or the dealership is getting the vehicle ready or any other loose ends, you would move the up sheet to the Sold status.)

A pop - up will appear, you can edit the dates if you need to then Click "Confirm this Delivery."

Take a look at your task section, you will see that you now have a new set of tasks. These tasks will remind you to say in contact with your delivered customers so that you have opportunity to sell them another vehicle, as well as, earn referral business.

Moving an Up Sheet to Lost

If you are in a situation where your lead is not working out right now, you want to mark the up sheet Lost. For example, if you can't finance them or you don't have the vehicle they are looking for. Organizing your Lost customers by reason helps you to refer back to them at a later date. It can be used to drum up some business for yourself when new leads are coming in slowly.

Go to the customer's up sheet and click on the Status drop down.

You will then see another pop up, Click "OK", and them you can choose the reason it was Lost.
